Privacy Policy
Effective Date: August 22, 2026
1. Introduction
Detention Timer ("we," "us," or "our") operates the website detentiontimer.com and related services (collectively, the "Service"). The Service is currently available for use within the United States only. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website or use our Service.
By using the Service, you agree to the collection and use of information in accordance with this policy.
2. Information We Collect
Information You Provide
- Account Information: Name, email address, company name, and other details you provide when registering or joining our waitlist.
- Profile Information: Job title, phone number, and other optional profile details.
- Communications: Information you provide when contacting us for support or other inquiries.
Information Collected Automatically
- Usage Data: Pages visited, time spent on pages, click patterns, and other interaction data.
- Device Information: Browser type, operating system, device type, and screen resolution.
- Log Data: IP address, access times, and referring URLs.
- Cookies: We use cookies and similar technologies to maintain sessions and improve your experience.
Location and GPS Data (Mobile App Only)
The Detention Timer mobile app collects location data to enable automatic detention time tracking even when the app is closed or not in use.
- Precise location (GPS): Collected in the background while you have an active load, including when the app is closed and when you are not using it. This is how the app timestamps arrival at and departure from a freight facility without requiring you to handle the phone while driving.
- Approximate location: Also collected as a fallback when precise GPS is unavailable.
- When tracking applies: Only while you have a load in flight. When your load is finished, tracking stops. Location recorded after a load ends is not stored — the server refuses it.
- When tracking does not apply: The website and dashboard do not collect precise location. The mobile app does not use location for advertising or analytics.
- You may disable location services, including background location, through your device settings. Automatic arrival and departure timestamps will not work without background location access. Manual check-in still works.
Photos (Mobile App Only)
- Bills of Lading and Proof of Delivery: If you choose to photograph or upload BOL/POD documents, those photos are uploaded to our servers and associated with the load and stop. Photo upload is optional.
Device Identifiers (Mobile App Only)
- Push notification token: A device token is stored so we can send load-status notifications (arrival, check-in, door assignment, departure, delivery). You can disable notifications in device settings.
3. How We Use Your Information
We use the information we collect to:
- Provide, maintain, and improve the Service
- Process waitlist registrations and send related communications
- Track detention times and generate reports, including automatic arrival and departure timestamps from background location
- Store BOL/POD photos you upload against a load
- Send transactional push notifications about load status
- Send transactional emails (password resets, account notifications)
- Send marketing communications (with your consent; you may opt out at any time)
- Respond to your inquiries and provide customer support
- Monitor and analyze usage trends to improve user experience
- Detect, prevent, and address technical issues or security threats
4. How We Share Your Information
We do not sell your personal information. We may share information in the following circumstances:
- Service Providers: With third-party vendors who assist in operating our Service (e.g., hosting, email delivery, cloud storage, push notifications).
- Your carrier, dispatcher, and other parties on the load: Location timestamps, load status, and photos you upload are visible to authorized users in your organization and to other parties on that load (carrier, broker, shipper) through the Detention Timer dashboard. Location data is not sold and is not used for advertising.
- Within Your Organization: With other members of your organization as part of multi-user account features.
- Legal Requirements: When required by law, regulation, or legal process.
- Business Transfers: In connection with a merger, acquisition, or sale of assets.
- With Your Consent: When you explicitly authorize us to share your information.
5. Data Retention
We retain your personal information for as long as your account is active or as needed to provide the Service. Location points captured during an active load are kept as detention evidence for that load. Location recorded after a load ends is not stored. We may retain certain information as required by law or for legitimate business purposes, such as resolving disputes and enforcing agreements.
6. Data Security
We implement appropriate technical and organizational measures to protect your information, including encryption in transit and at rest, access controls, and regular security assessments. However, no method of transmission over the Internet is 100% secure, and we cannot guarantee absolute security.
7. Your Rights
Depending on your jurisdiction, you may have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your information
- Object to or restrict certain processing activities
- Data portability (receive your data in a structured format)
- Withdraw consent at any time (where processing is based on consent)
To exercise these rights, including to request deletion of your account, location history, or uploaded photos, email privacy@detentiontimer.com. We will verify the request and complete it, or explain any legal reason we must retain a record, within a reasonable time.
8. Cookies and Tracking
We use cookies and similar technologies to enhance your experience. You can control cookie preferences through your browser settings. Disabling cookies may affect certain features of the Service.
9. Third-Party Links
The Service may contain links to third-party websites. We are not responsible for the privacy practices of these external sites and encourage you to review their privacy policies.
